Job Description

Job Title: Operations Officer (Ukraine nationals only to apply)
Reporting to: Operations Manager
Contract Type: Full time (37.5 hours per week)
Principal Location: Kyiv, Ukraine
Contract duration: 31 December 2023 (with possibility to extension)
Salary: Net $1200 per month

Part 1: Role Purpose:

Street Child is seeking a specialist who wants to be involved in supporting the response to the humanitarian crisis in Ukraine caused by Russian military assault. This is a fantastic opportunity to become a member of a new and growing team that manages Street Child’s multiple programmes in Ukraine. The role will require a motivated and enthusiastic candidate to handle day-to-day programme’s financial, administrative, operational and security related activities in the organisation of 10 staff members.

We are looking for candidates with a ‘can-do’ attitude and willingness to support wherever needed. Strong commitment and motivation are required. This is a demanding role and is suited to individuals who enjoy being busy and involved in a variety of tasks. Part 2: Key Responsibilities:

1) Office management and administration (60%)

  • Oversee and direct administrative tasks of the organisation
  • Communicate and cooperate with external parties, outsourced organisations on administrative matters
  • Coordinate activities related to office support and maintenance
  • Keep track on deadlines on submitting payments and reports related to office maintenance
  • Support Operations Manager and Chief Accountant with daily tasks that relates to area of responsibility of Operations unit
  • Support Operations manager in developing organisation policies and ensuring organisation compliance

2) Partnerships amp; Representation (30%)

  • Draft contracts, handle communication and prepare requests for payment with service providers or contractors
  • Support in reviewing and verifying financial reports and bookkeeping documents submitted by implementing partners, service providers or contractors and be a liaison person between Street Child Operations team and the external parties
  • Per Operations Manager request monitor and evaluate partners’ operation activities to keep track of progress in line with the work plan and budget, and ensure best practices are adhered in project implementation
  • Support in organizing presentations, workshops or training sessions for partners, and preparing hand-out materials
  • Support the Ukraine Programmes Manager and capacity support partner in identifying and assessing partner training/capacity building needs
  • Provide support in identifying, capturing, synthesizing, and sharing lessons learned for knowledge development and capacity development

3) Security Focal Point (10%)

  • Be a holder of Security SOP of the organisation, support a quarterly update of the policies related to the security procedures
  • Be a Security Focal Point for Street Child staff who travels on business trips in Ukraine, provide briefings on security situation

4) Other

  • A strong commitment to Street Childs vision, mission, and values

  • Able to represent Street Child appropriately both internally and externally
  • Carry out all reasonable requests that are within the broad remit of the role

Part 3: Person Specification

Attributes / Essential / Beneficial

Experience and Knowledge:

  • Work experience in humanitarian, development or similar sector
  • Experience in programme monitoring and evaluation
  • Experience working with Microsoft tools
  • Demonstrable experience working closely with national/local NGOs in Ukraine

Skills and Abilities

  • Critical thinking and ability to see a broader picture; ability to analyse different sources of information and provide informed judgment
  • Experience working with financial documents and procurement paperwork and financial reports
  • Ability to communicate with a different audience in a clear sense and manner
  • Demonstrated experience to work under pressure and tight deadlines
  • Ability to work independently on a range of tasks and to take initiative to take on further responsibilities as appropriate
  • Excellent organisational abilities and IT skills
  • A ‘can-do’ attitude
  • Proficiency in operations and financial mana
